The Foundation for Black Women’s Wellness (FFBWW) seeking a Special Projects Coordinator to help advance our commitment to Empowering a Generation of Well Black Women. This position will play a key role in realizing our organization’s mission to energize, mobilize and support Black Women to transform their lives through education, advocacy, and powerful partnerships.

Position Summary:
Reporting to the Chief Operating Officer, the Special Projects Coordinator will be responsible for supporting members of the Chief Executive Team and key programmatic initiatives and projects. This is a trusted role with responsibility in supporting the Foundation’s daily work, priorities, and smooth operation.
Duties/Responsibilities:
Administrative Support and Coordination
- Provide top-notch support to the Chief Executive Team to promote the underlying mission of the organization.
- Support Chief Executive Team to coordinate internal staff communications to ensure timely response and handling of key day-to-day activities and priorities.
- Schedule, prepare, coordinate and execute internal and external meetings and events.
- Assist with maintaining Chief Executive Team calendars and setting appointments.
- Serve as office liaison to respond to external inquiries from community members and other stakeholders including partners, vendors and sponsors. Consult with staff to determine proper response and timely actions.
- Assist with travel arrangements for organization business.
- Complete special projects and other duties as assigned by the CEO, COO, and CHIO.
Health & Wellness Programs Support and Coordination
- Provide support to the Director of Health & Wellness Programs for planning and coordination of community-based and virtual health and wellness programming and events (i.e. Project Live Well classes, Morning Coffee, Community Walks, etc).
- Serve as back-up host for after hours and weekend Project Live Well classes
- Assist with supporting FFBWW Wellness Ambassador communication and engagement.
Special Events & Community Outreach Support
- Assist with the planning and coordination of various Foundation events including but not limited to BWWDAY, Well Black Woman Markets, Wear Red Day, and other signature events
- Assist with rentals, space bookings, speaker bookings, coordination of vendors, set-up and takedown.
- Serve as the liaison to respond to external inquiries from donors and community members who are interested in hosting events that benefit the Foundation
- Assist with external fundraising campaigns, activities and events.
- Assist with targeted community outreach to drive attendance, engagement and community presence and support for FFBWW events
- Other duties as assigned
Required Skills/Abilities:
- Ability to thrive in a collaborative, fast-paced environment with frequent changing priorities.
- Tech Savvy with a firm grasp of MS Office, Google Business Suite, and various business and project management software.
- Exceptional organizational, time management, and problem solving skills—must be able to think on your feet and outside the box.
- A strong team player who is also a self-starter with a desire to take on new challenges.
- Must be flexible and able to work outside of normal business hours.
- Excellent organizational and leadership abilities, impeccable communication and people skills.
Education and Experience:
- Bachelor’s degree preferred.
- An experienced professional with a background in project coordination is preferred.
- A passionate advocate for Black Women’s health, and commitment to bringing women and partners together to improve the health of Black Women, families, and communities.
Compensation & Benefits:
- Salary is commensurate with experience.
- FFBWW offers a competitive and comprehensive benefits package including employer paid health care benefits, dental coverage, vision coverage, health reimbursement arrangement (HRA), 401k plan with employer match, optional life insurance and disability coverage.
- FFBWW offers 160 hours of Paid Time Off (PTO) in a calendar year (hours are prorated for new hire employees). FFBWW also provides 12 paid holidays per year, plus a bonus day off during your birth month for your birthday.
Work Location:
- This position will be based out of our headquarters in Madison, WI 53719, but it will offer a hybrid work arrangement allowing the flexibility to work a few days a week from home.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
