The Foundation for Black Women’s Wellness (FFBWW) is seeking an Operations & HR Manager to help advance our commitment to Empowering a Generation of Well Black Women. This position will play a key role in realizing our organization’s mission to energize, mobilize and support Black Women to transform their lives through education, advocacy, and powerful partnerships. 

Reporting directly to the Chief Operating Officer, the Operations & HR Manager will be a driver in establishing processes to ensure smooth and professional operation of the Foundation’s administrative support functions to maximize the effectiveness of its programs and services. This is a trusted role with significant responsibility in supporting an array of systems, operations and administrative functions. 

Specifically, the Operations & HR Manager will be responsible to:

Operations 

  • Manages the organization’s daily standard operating procedures including maintaining administrative systems and databases.
  • Administer all organizational systems, databases, and applications.
  • Administer FFBWW’s customer relationship management (CRM) database, NEON, in addition to other project planning and information systems that support key administrative and operations functions.
  • Assist in identifying, prioritizing and implementing policy, programmatic and administrative procedural changes to enhance operation efficiency and effectiveness.
  • Assists in the development and revision of standard operating procedures.
  • Troubleshoot technology issues and develop/update best practice procedures.

Human Resources

  • Assist with the recruitment process for all open positions including posting jobs, scheduling interviews, and candidate follow-up.
  • Work with the Chief Operating Officer and outside broker to renew annual insurance programs, including liability, workers compensation and health; and supporting administration of employee benefits programs. 
  • Support employee engagement activities and celebrations.
  • Cultivate a culture of equity, collaboration, accountability, and excellence among the staff.

Administration & Finance

  • Assist with managing accounts payable.
  • Assist with reconciliation of expense accounts.
  • Pull data requests and supporting documentation for annual financial audit.
  • Organize and store organizational documents with impeccable integrity and confidentiality.
  • Support the Neon CRM and QuickBooks reconciliation process.
  • Enter grants in Neon CRM and track and monitor grant reporting obligations.
  • Ensure accurate and timely review and posting of gifts/donations.
  • Assist with ad-hoc internal finance, grant and development reporting.
  • Ensure accurate and timely processing of gift acknowledgements.
  • Other duties as assigned

Requirements

  • Bachelor’s degree required and 3 years minimum experience in a related role.
  • A passionate advocate for Black Women’s health, and commitment to bringing women and partners together to improve the health of Black Women, families, and communities;
  • Exceptional organizational, analytical, and problem-solving skills—must be able to think on your feet and outside the box; impeccable communication and people skills.
  • Ability to juggle multiple projects with shifting deadlines and stakeholder needs;
  • A strong team player and self-starter with a desire to take on new challenges
  • Excellent time management skills; must be flexible and able to work outside of normal business hours as needed;
  • Ability to thrive in a fast-paced environment with frequent changing priorities;
  • Working knowledge of data management, analysis and performance metrics
  • Firm grasp of MS Office, Google Business Suite, and various business and project management software
  • A hands-on learner who thrives in a collaborative, fast-paced environment with frequent changing priorities.
  • Tech savvy with proficiency in Microsoft Office Suite- Word, Excel and Google Drive
  • Experience utilizing customer relations management systems (CRM)
  • Knowledge and experience with HR functions preferred.

Job Details

This is a full-time benefits-eligible position. Salary is commensurate with experience.

The FFBWW office is located at 6601 Grand Teton Plaza, Suite A2, Madison, WI 53719. The Director of Operations & Development will be based out of the Black Women’s Health and Wellness Center.
